What we collect when you use Accelerated Front Office, why, who helps us run it, and how to reach us about your information.

Who we are
Accelerated Front Office (acceleratedfrontoffice.com) is part of Accelerated Dental Training and is run by The Dental Machine LLC, 425 SE Baseline St, Hillsboro, OR 97123. Courses are delivered in the Accelerated Dental Training portal at learn.accelerateddentaltraining.com. This policy covers both. Questions: help@acceleratedfrontoffice.com.
What we collect
- When you sign up for a waitlist or a free resource (like the sample call score card and Dental 101): your email, and anything else you choose to give, such as your first name, role, office, state or mobile number. If you check the box to get texts, we keep that consent with the number. With the sample call, your score and the checklist items you missed.
- A first-party cookie named afo_lid: an id for that signup, kept for 180 days. An email link may include the same id as lid, so a click on another device is recognized as you. We use it to record that you finished a sample call, started or finished Dental 101, opened the office-manager checklist, or viewed a course page.
- Where you came from: the campaign tags and ad click IDs on the link you arrived by (for example utm_source, gclid, fbclid, msclkid), the page you landed on and the site that sent you. This is kept in your browser and sent along when you sign up or buy.
- When you buy: Stripe collects your payment details; we never see or store your card number. We keep your email, what you bought, the amount, any promo code and where the order came from. If your office pays for you, we keep the email you gave for your course login.
- Your account: your email and name, the name for your certificates, your time zone, and your email and text message preferences. Sign-in is by a one-time code sent to your email, and optional two-factor authentication.
- Your training: lessons completed, quiz and exam answers and scores, simulation results, time spent in lessons, flashcard progress, assignments and files you submit, skill sign-off requests (including any video you upload), and certificates.
- Practice calls and written practice: your words are turned into text by your web browser's own speech recognition; we don't record or store your voice. We store the text of each scored call or written answer, your score and the feedback.
- Support and problem reports: what you write to us. If you use "Report a problem", the page address, your browser and screen size, recent error messages from the page and, only if you add one, a screenshot.
- Basic usage: which pages are visited and where visitors came from, counted without your identity.
How we use it
- To give you your courses, score your practice, issue certificates and keep your training record.
- To email you about your account and courses, and, if you signed up for them, front desk tips and news about courses opening. You can unsubscribe from marketing email at any time with the link in every email.
- To text you, only if you checked the box: waitlist openings, enrollment and course reminders, and course offers, up to 4 messages a month.
- To take payments, process refunds and prevent fraud.
- To see which pages, videos, ads and guides bring people to the site, and to measure our ads.
- To update our email list when someone who already signed up finishes a sample call, starts or finishes Dental 101, opens the office-manager checklist, joins a course waitlist, or views a course page more than once, so follow-up email can match what they did.
- To fix problems and improve the courses.
We don't sell your personal information.
Who we share it with
We use service providers who handle data for us under their own terms:
- Supabase (sign-in and our database) and Vercel (hosting, file storage and anonymous visit counts).
- Stripe (payments).
- HighLevel (our email list, follow-up emails, and, when you check the box, your mobile number and text opt-in) and Resend (account and course emails). Twilio (text messages, only if you choose texts).
- Anthropic (the AI that plays the patient in practice calls, scores your practice, and helps us sort problem reports) and ElevenLabs (the AI caller's voice; it receives only the caller's lines, never your words).
- Meta (Facebook and Instagram) and Google Ads, for measuring our ads. See "Cookies and ads" below.
If your office trains you through an Accelerated Dental Training office plan, your office's owner and managers can see your progress, sign-offs, assignments, training plans and assessment results for the training they provide. They can't see your practice call transcripts.
Certificates have a number anyone can check online. A check shows the name on the certificate, the course, the completion date and whether it's valid.
We may also share information if the law requires it, to protect our rights or users, or as part of selling or reorganizing the business.
Text messages
If you give a mobile number and check the box on a waitlist form or the sample call form, The Dental Machine LLC (Accelerated Front Office) may text that number about waitlist openings, enrollment and course reminders, and course offers. Message frequency varies, up to 4 messages a month. Msg & data rates may apply. Reply HELP for help or STOP to cancel. Consent is not a condition of any purchase. Texts come from (971) 414-4092.
We don't sell or share mobile numbers or text-message opt-in data with third parties or affiliates for their own marketing.
Cookies and ads
acceleratedfrontoffice.com uses the Meta pixel and the Google Ads tag. They set cookies and tell Meta and Google when someone views a page, signs up for a free resource or buys, so we can see which ads work and show ads to people likely to be interested. When you sign up or buy, we also send Meta your email and first name in a scrambled (hashed) form, with your browser details, so the event can be matched to an ad. Your browser also stores where you came from (see above) for up to 90 days. The afo_lid cookie is ours, not an advertising cookie. The Meta pixel also receives custom events for a finished sample call, Dental 101 started or finished, a waitlist signup, and a course page view (ViewContent), so we can build audiences. Those are not sent as Google Ads conversions.
The portal uses cookies to keep you signed in and remembers a few settings in your browser, like where you left off.
- Meta: manage ad preferences at facebook.com/adpreferences.
- Google: manage ad settings at adssettings.google.com.
- You can also block or delete cookies in your browser settings, or use an ad blocker. The site still works.
How long we keep it
We keep your account and training records while you have an account, so your progress and certificates stay available and your certificates can be checked. We keep order records as long as tax and accounting rules require. Email list records stay until you ask us to remove them. "Ask your office to pay" links expire after 30 days.
Your choices
- Unsubscribe from marketing email with the link in any email, or change your email preferences in your account. For texts, reply STOP to cancel or HELP for help. Msg & data rates may apply.
- Ask for a copy of your information, a correction, or to delete your account and information: email help@acceleratedfrontoffice.com from the address on your account. We'll reply within 30 days. We may keep records we must keep by law, such as orders, and deleting your account ends your access and your certificates' online check.
Depending on where you live, you may have other privacy rights. Contact us and we'll help.
Security
We use encrypted connections, private file storage, sign-in codes instead of passwords, and access controls inside our team. No system is perfectly secure, so please keep access to your email safe; it's how you sign in.
Children
Our courses are for adults preparing for or working in dental offices. They're not meant for children under 16, and we don't knowingly collect their information.
Changes
If we change this policy, we'll update the date at the top. If a change matters, we'll tell account holders by email.
